We only collect information we actually need to do the job. We do not sell it, share it without good reason, or keep it longer than necessary. Here is what we have and why.

What personal data we collect and why

Enquiry and booking data

What we collect: Your name, email address, postal address (if you are posting a quilt to us), phone number (if you provide it), and details about your quilt such as size, fabric type, and any special instructions.

Why we collect it: To fulfil the quilting service you have requested. We need your contact details to communicate with you, your postal address to return your quilt, and the quilt details to quote accurately and complete the work.

Legal basis: Contract. Processing is necessary to fulfil the service you have requested.

Payment data

What we collect: Payment details depend on the method you choose. We accept PayPal, BACS bank transfer, and cash (for local drop-off only).

PayPal: PayPal processes your payment independently. We do not store card or bank details. PayPal's privacy policy applies to data processed through their platform: paypal.com/uk/legalhub/privacy-full.
BACS and cash: We record these payments in FreeAgent, our invoicing and accounting software. FreeAgent's privacy policy applies to data processed through their platform.

Why we collect it: To process your payment and maintain financial records as required by law.

Legal basis: Contract (to fulfil the agreed service) and Legal Obligation (HMRC record-keeping requirements for a limited company — minimum 6 years).

Email marketing and newsletter

What we collect: Your email address and first name, if you opt in to receive marketing emails or our newsletter.

Why we collect it: To send you updates, offers, and newsletter content that you have chosen to receive.

Legal basis: Consent. You must opt in to receive marketing emails. You can unsubscribe at any time using the link in any email we send. Withdrawing consent does not affect any services you have already received.

We comply with the Privacy and Electronic Communications Regulations (PECR) for all marketing communications.

Website analytics

What we collect: We may use Google Analytics to understand how visitors use our website. This collects information such as which pages you visit, how long you spend on the site, and how you arrived at the website. This information is anonymised and aggregated.

Why we collect it: To understand which pages are most useful and improve the website experience.

Legal basis: Consent. If we use Google Analytics, you will be asked for consent via a cookie banner when you first visit the website. Google Analytics data is processed in accordance with Google's privacy policy.

Photography consent

What we collect: Photographs of your finished quilt, taken for our portfolio and marketing purposes.

Why we collect it: To showcase our work on our website, social media, and in promotional materials.

Legal basis: Legitimate Interests (to promote our business). You can opt out of photography at the time of booking. If you opt out, we will not photograph your quilt.

We do not include any identifying information (such as your name) in photographs unless you have given separate permission.

How we store and protect your data

Your data is held in the following places:

Email inbox (Google Workspace, UK-based servers)
Kit (email marketing and distribution, formerly ConvertKit, US-based servers with GDPR-compliant safeguards)
FreeAgent (invoicing and accounting software, UK-based servers)
Google Analytics (website analytics, if enabled, processed by Google)
Paper records (booking forms, invoices) stored securely at our registered office

We do not sell your data or share it with third parties except where necessary to deliver the service you have requested — for example, Royal Mail for postage, PayPal for payment processing, FreeAgent for invoicing, Kit for email marketing, or Google for website analytics.

Some of our service providers (such as Kit, Google Analytics, and PayPal) are based outside the UK. Where this is the case, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or adequacy decisions recognised under UK GDPR.

How long we keep your data

Client and financial records: 6 years minimum from the end of the relevant financial year, as required by HMRC for limited companies (Companies Act 2006 and Corporation Tax requirements).
Enquiry records where no booking resulted: 12 months, after which they are deleted.
Email marketing: Until you unsubscribe.

You can request deletion of your personal data that is not required by law to be retained. See 'Your rights' below.

Your rights under UK GDPR

You have the following rights:

Right to access: You can request a copy of the personal data we hold about you (a subject access request).
Right to rectification: You can ask us to correct inaccurate data.
Right to erasure: You can ask us to delete your personal data, where this is not required by law to be retained.
Right to restrict processing: You can ask us to limit how we use your data in certain circumstances.
Right to data portability: You can ask for your data to be transferred to another service provider in a commonly used format.
Right to object: You can object to processing based on legitimate interests or for direct marketing purposes.
Rights in relation to automated decision-making: We do not use automated decision-making or profiling.

Response time: We will respond within one calendar month of receiving your request, as required by UK GDPR.

Changes to this policy

We may update this policy from time to time. We review it at minimum annually or whenever our services change materially. The current version is always available on our website.

Future services

Note: This privacy policy currently covers our longarm quilting services only. If we introduce additional services in future — such as the sale of printed or digital quilt patterns, pantograph designs, or educational workshops — we will update this policy accordingly and notify existing clients where relevant.
